The extreme weather of the past winter illustrates
\njust how difficult being a property manager
\ncan be.<\/p>\n

“Property management is a 24\/7 job and is often
\nnot glamorous,” said Alan Oppenheim, principal in
\nACO Property Advisors Inc. of Saratoga Springs.<\/p>\n

“Roof leaks and parking lot ‘slip and falls’ were
\nsome of the expected horrors from this past winter.
\nIt was not at all uncommon to be up on a building
\nroof fighting ice dams with a variety of power tools
\nat all hours.”<\/p>\n

Other property managers spoke of heating issues,
\nsnow removal and “frozen pipes and all the
\nfun stuff that goes with that.”
\n“It’s a mess,” said Ash Anand, owner of the Lotus
\nSupport Services in Warrensburg.<\/p>\n

But if the winter made it hard to be a property
\nmanager, it also made it clear just why owners
\nof commercial and residential properties would
\nwant to hire one.<\/p>\n

“More and more people are realizing that,
\nwhether it is extreme weather or something else,
\neverything has an effect on how a property is
\nmanaged today,” Anand said. “I look at it as peace
\nof mind because just because someone owns a
\nproperty, does not mean that they understand
\nconstruction or any related items to do with the
\nmaintenance of it. So [the property management
\nbusiness] is only growing, that I can tell you.”<\/p>\n

Property management is not all about fighting
\nice dams and mounds of snow. Many of the responsibilities
\nare more routine, such as collecting rents
\nand dues, hiring vendors and contractors, dealing
\nwith tenant issues and paying the bills.<\/p>\n

Augustus Williams, principal in Management-
\nConsulting and Administrative Processing Inc., or
\nM-CAP, an 18-month-old, family owned company
\nin Saratoga Springs, is in the niche business of
\nmanaging condominium and townhouse properties
\nfor owners’ associations. He described the
\ncompany’s responsibilities as being “from A to Z.”<\/p>\n

“There is exterior maintenance, pressure washing.
\nThere is lawn care, sprinkler systems, trash
\ngoing out,” he said. “We collect dues from the
\nowners every month and make bank deposits. We pay the light bill for the common areas, we pay the
\nphone bill for the lines attached to safety systems
\n… So we are handling everything that is required
\nfor the building. We walk through once a week, we
\nmake sure everything is safe and we cover them so
\nthey have a comfortable lifestyle without having
\nto worry who is going to mow the lawn this week.”<\/p>\n

Oppenheim, who has been a property manager
\nfor 20 years, handles commercial properties
\nthroughout upstate New York. These range from
\na 20,000-square-foot commercial office building
\nto a former lakefront resort. He said “typical”
\nservices for a commercial building include reviewing
\nleases, assessing potential tenants, collecting
\nrent, implementing maintenance and financial
\nmanagement systems, hiring vendors and making
\nannual budgets.<\/p>\n

The job also entails making routine inspections
\nof the property as well as ongoing assessments
\nof the physical plant and the need for capital
\nimprovements.<\/p>\n

Anand, whose company manages about 60
\ncommercial and residential properties, including
\nhotels and vacation homes, agreed that a big part
\nof the job involves saving the owner money by
\nkeeping on top of things “that could be a bigger
\nproblem tomorrow. This could be electrical, this
\ncould be plumbing, overall construction, landscaping,
\nit doesn’t matter.”<\/p>\n

Williams said this is where his background–he
\nwas in construction for 40 years–comes into play.
\n“We know what is going to take place three
\nyears from now and five years from now,” he said.
\n“We know, for example, that three years from now
\nwe are going to have to be painting the structural
\nsteel. So we try to stay ahead of the curve by providing
\nthe [association] board with a plan to do
\nthe work two years ahead of time. That’s really the
\nchallenge–keeping ahead of the curve, knowing
\nwhat is going to happen.”<\/p>\n

It is the property manager’s job to not only provide
\na long-range plan for ongoing maintenance,
\nbut to budget and make sure the money is there
\nto support necessary projects.<\/p>\n

But, as this winter proved, there will always
\nbe surprises. These may be as mundane as leaky
\ntoilets, as troublesome as frozen pipes or as annoying
\nas security system alarm calls in the middle of
\nthe night–which require a trip to the property,
\neven for false alarms.<\/p>\n

Which, again, is why owners hire property
\nmanagers.
\n“Why go through those headaches if you can
\ngive it to somebody else and rest in peace?”
